We at “The Holiday Explorers” are committed to providing a transparent and fair payment and refund process. This policy explains how payments are handled and under what conditions refunds may be issued.


1. Booking & Payment Terms
  • A minimum deposit of 50% of the total tour cost is required to confirm your booking.
  • Full payment must be made [7 days/weeks] prior to the tour start date.
  • Payments can be made via:
    • Credit/Debit Card
    • Bank Transfer
    • Online Payment Gateways (e.g., Stripe, Razorpay, PayPal)

Note: Payment instructions will be provided during the booking process or via email.


2. Cancellation & Refund Policy

a. Cancellation by Traveler

If you cancel your booking, the following charges will apply:

Cancellation Timeframe Refund Amount
More than 30 days before trip 90% refund (10% processing fee)
15–30 days before trip 50% refund
7–14 days before trip 25% refund
Less than 7 days before trip No refund
  • All cancellations must be made in writing via email to [info@theholidayexplorers.com].
  • Refunds, if applicable, will be processed within 7–14 business days to the original payment method.

b. Cancellation by Company

If we cancel a tour due to unforeseen circumstances (e.g. weather, minimum group size not met, travel restrictions), customers will be offered the option of:

  • A full refund, OR
  • Rescheduling the tour to a later date, OR
  • Receiving a travel credit valid for [12 months]

3. Non-Refundable Items
  • Visa fees, travel insurance, and any government charges
  • Flight tickets (unless otherwise specified by the airline)
  • Hotel bookings that are non-refundable per their terms
  • Third-party service fees (if already paid and non-recoverable)

4. Changes to Bookings
  • Change of dates or names may be permitted depending on availability and provider policies.
  • A change fee may apply.
  • Requests for changes must be submitted at least [7 days] before the tour start date.

5. Force Majeure

We are not liable for refunds or compensation in cases of “force majeure” including but not limited to: natural disasters, pandemics, war, strikes, or government restrictions. In such events, we may offer travel credit or rescheduling.
